Michelle runs a referral-driven wedding hair & makeup business with a team of ~8–10 artists and her VA, Jody. HoneyBook is the system of record, but the real day-to-day, confirming who's free, building the wedding-day schedule, getting invoices out, happens by hand, mostly in Canva and group texts. The friction isn't with her clients; it's the internal back-and-forth that eats time and opens gaps.

Solution

Every artist’s Google Calendar feeds one place. Jody pulls up a date and instantly sees who’s free, assigns the lead, and sends invites that book the artists on accept and block double-bookings. The same flow handles trial scheduling as self-service — the confirmation emails still go out, they just run themselves.

Solution

Pull the booking details, generate the branded PDF, and copy-to-clipboard or drop it into an email draft with the Zelle link ready to send. Lives outside HoneyBook — same reason she already does, to dodge their rates — as a lightweight page.

Building or rebuilding the day-of schedule goes from about an 1 hour to ~25 minutes — and since clients revise more than once, that’s a couple of hours of Jody’s time back per wedding.

Challenge

Jody hand-builds the 45-minute-block run of show in Canva and redoes the whole thing every time a client changes a detail. She tried Notion and AI to speed it up, but it broke on uneven jobs.

Solution

Enter the heads and services, and it generates the schedule with the exceptions baked in as rules, then exports the pretty PDF. When a client changes something, it’s a quick re-run instead of a rebuild.
