Jack at New York Life

Hite Labs

Current Situation

You're a New York Life agent working the Boston market, focused on small business owners and estate planning. Your private equity background means you understand how business owners think and what keeps them up at night. You're good at closing. You just run out of names.

Right now the top of your funnel lives across your CRM, a few Excel sheets, a notes app, and your memory. You go to events, meet people, collect cards, and then manually work through follow-up. The referral partner side, CPAs, estate attorneys, realtors, is promising but slow-burn, and you're managing those relationships on calendar reminders and gut instinct. Salesforce data entry is eating time you'd rather spend in front of people.

You work in a regulated environment, so we've vetted this to work without installing anything new. It runs in Claude AI on your phone or desktop, no additional software required. If Cowork is available, we can add a folder-drop option that processes contacts automatically.

Pain Points

  • You run out of names at the top of the funnel and have to manually hunt for new events and people to reach.
  • Post-event follow-up is ad hoc, business cards, notes app entries, memory, with no consistent intake process.
  • Referral partner relationships (CPAs, estate attorneys, realtors) take 6-12 months to develop and you're managing them on calendar reminders and spray-and-pray emails.
  • Salesforce data entry is the biggest admin drag. You'd rather hand it to a secretary but you're trying to avoid that cost.
  • Zocks is available through NYL but sitting unused. The admin time it's designed to eliminate is still happening by hand.

Ready when you are

Recommended: 2-3 hours of manual event hunting each week becomes a 15-minute review. That's time back in front of people, not behind a browser.

Boston Prospect Finder

Challenge

You're good at closing. You're not running out of skill, you're running out of names. Finding new events, associations, and networking opportunities in Boston takes time you don't have, and right now it's something you have to remember to do yourself. Some weeks it happens, some weeks it doesn't.

Solution

Start here: it pays for itself fastest and lays the groundwork for the other two.

We build a weekly prospecting brief that goes out and finds what you're looking for, so you don't have to go looking. It monitors Boston-area small business events, trade associations like the Boston Estate Planning Council, chamber events, and other venues where business owners show up. It runs on a schedule, pulls results against your target profile, and surfaces a short list you can act on in a few minutes.

The sources are configurable. Add associations you join, URLs you want monitored, or keyword searches for specific event types. As your network grows and your ICP gets sharper, the system sharpens with it. New opportunities show up. You stop having to remember to go find them.

2-3 hrs/week of manual research down to a ~15 min weekly review.

Ready when you are

You go from managing 5-6 relationships in your head to 20+ without dropping anyone. Every conversation feels like you never lost the thread, because you didn't. The system holds the context so you show up fully loaded: what was going on in their life, when their busy season hits, what you talked about last time. That's what makes a CPA want to send you their best client.

Referral Partner Cadence System

Challenge

CPAs, estate attorneys, and realtors are your best long-term referral source. You know it takes 6-12 months to earn a referral from them, and you're doing the right things: coffee meetings, in-person intros, calendar reminders. The problem is it's all in your head. You can manage 5 or 6 of these relationships that way. You can't manage 20.

And it's not just capacity. When you walk into a coffee meeting cold, without context, it shows. These are people who send clients based on trust. That trust comes from feeling remembered.

Solution

We build a COI (center-of-influence) registry and a smart outreach cadence. Each referral partner gets a profile: their role, their busy seasons, what you know about them personally, and what the last touchpoint was. The cadence rules adjust by category. CPAs go quiet during tax season. Estate attorneys have their own rhythm. Realtors peak and valley with the market.

When it's time to reach out, the system surfaces context from the last conversation. You add notes after a coffee meeting and those notes carry forward. A congrats-on-surviving-tax-season note gets flagged at the right time. A referral received gets logged and the reciprocity tracked.

The system lets you take on more relationships without any more mental overhead. The details live in the system, not in your head.

From 5-6 relationships you can hold in your head to 20+ you can actually work. And every single conversation feels personal, because the system makes sure it is.

Ready when you are

2 minutes at the event, on your phone, and the contact is captured, structured, and ready to paste into Zocks. No desk pile. No Monday morning catch-up. And because the output feeds directly into Zocks' table format, you're also cutting down the data entry that happens downstream, every contact you capture clean is one less form you fill by hand later.

Event Contact Capture

Challenge

After every event you have a stack of cards and a sharp memory. The cards pile up on your desk. The memory fades by Monday. Right now getting a new contact from "met at the Small Business Expo" into the system where it can actually do something is a batch job you do when you find time. Which means some of them don't make it.

Solution

We build a simple capture-to-Zocks workflow. You meet someone at an event, pull up Claude on your phone, and either photograph the card or drop a quick voice note. The output is a structured summary formatted to paste directly into Zocks' table view. Name, company, title, conversation context, suggested next action. No manual typing, no Monday morning catch-up, no relying on memory to fill in the gaps.

The output is designed to hand off cleanly to Zocks. Once it's in Zocks, your NYL-approved system takes over. You get the organization without touching anything outside your compliance boundary.

From a pile of cards and a Monday batch job to a 2-minute capture right there at the event. Clean input into Zocks, less data entry downstream.
